If you’re a frequent business traveller, you’ll probably already know that organising your travel and overnight arrangements is a time-consuming job that you’d rather do without. Even the simplest of trips can throw up complications – be it finding the right flight time to coincide with a tight schedule, choosing the right train departure, avoiding rush-hour traffic, or even finding a hotel that’s close to your venue yet still within budget. All that searching, planning and booking takes time and of course money.

To help you plan your trip and to reduce the amount of time you spend organising it, it’s well worth hiring a little outside help. There are plenty of business travel consultants who can help to plan and book your business trip, and offer advice on many other elements of corporate travel such as conference management, VIP treatment for guests, events, and even dinner reservations.

Whether you decide to work with a business travel consultant or not, there are a few things you should do beforehand to help get organised for your business trip:

  • Review your company’s travel policy: This includes understanding which expenses can be reimbursed, any exclusions, and how you should go about organising the separate elements of your trip.
  • Check your travel documentation: If you’re heading overseas you will need to consider important documentation including your passport validity, whether or not you need a visa, time required for visa applications, medical considerations and vaccinations, security or escort requirements, travel insurance, and so on. Also be sure to take some cash in the local currency.
  • Create an itinerary: Draw up a plan of where you need to be on each day and by what time, and what you will need to take with you – such as presentation equipment, files, laptop, and so on.

This is a great way to start planning for your trip and will give you a basis from which to organise and book the separate elements of your business travel requirements, helping to make the overall process easier – and ensuring you get to where you need to be!
